(Minister Hospitality, Logistics, Protocol) Invitation and Communication with Guest Ministers Handle official invitations, confirmations, and communication with all invited guest ministers and speakers for programs or services. Collaborate with Welfare for Guest Comfort Work closely with the Welfare Department to ensure provision of refreshments, water, food, and personalized care before, during, and after ministration. Reception and Welcoming of Guests Receive all guests warmly at the point of arrival, whether at church or at their place of lodging, with a hospitality team on standby. Protocol and Seating Arrangements Work with The Potters (ushers) to ensure guests are ushered to their reserved seats promptly and appropriately based on the event structure. Ministry Support Essentials Ensure every guest minister has all required items for ministration: sound checks, microphones, backup singers (if needed), pulpit handkerchiefs, water, etc. Preparation and Delivery of Honorarium Coordinate with church finance to ensure that honorariums are prepared, packaged, and delivered respectfully and confidentially. Transportation & Accommodation Logistics Arrange and manage transportation to and from the airport, hotel, or church venue; ensure the accommodation is suitable and comfortable. Welcome Package and Information Briefing Prepare a welcome pack containing event schedule, local information, contact numbers, and any other useful materials for the guest. Managing the Guest’s Personal Assistant or Team Provide assistance and hospitality for the guest’s protocol officer, assistant, or team members where applicable. Airport Pickup and Drop-off Coordination Ensure timely pickup and drop-off of guests with courteous, well-informed drivers and protocol team. Prayer and Spiritual Coverage for Guests Work with The Snippers (intercessory team) to cover guest ministers in prayer before, during, and after their visit. Feedback and Appreciation Communication After their ministration, send appreciation messages, and where necessary, request feedback on how to improve hospitality. In-Service Monitoring and Support Assign team members to observe and serve guest ministers discreetly during services — whether they need assistance, interpretation, or emergency support. Guest Records and Archives Maintain a database of past guest ministers, their preferences, contact details, and notes on their last visit for future reference. Crisis Management and Contingency Planning Prepare for emergencies (delays, sudden changes, missing items) with alternative arrangements and fast response systems.
